What is the purpose of an engagement survey? Why is this important?

Coda utilizes engagement surveys to enable Codans to speak up on what matters to you, drive insight on employee engagement, identify focus areas to improve employee experience, and drive company and employee success across culture, product, and the organization. We certainly value your time and you can expect to hear from us on what changes this has inspired.

How does it work at Coda?

Coda’s engagement survey will be facilitated twice a year — once in the Fall and another in the Spring. Fall will be our comprehensive review where the People Team will analyze and report out on company-wide and Org level and Spring will be lighter touch where we’ll facilitate a modified version of the existing set of questions and report out on a company-wide level.
These surveys will target your personal experience as an employee — your experience with how you work as a team, your experience of your manager, and team cohesion, sense of belonging and inclusion. There are also product and company focused questions that help gauge business and organizational success.

Who gets to participate in the engagement surveys?

We open up the Engagement Survey for Codans who have a tenure of at least 3 months from the time of survey launch to ensure they they have a well informed picture of life at Coda to provide thoughtful responses.

Will there be share outs I can expect following the Survey?

We will share the company-wide results for our surveys as well as post the recording and results on WikiPops.

Creating the right mindset

Before taking the survey, we think it’s important to get into the right headspace to take the survey. We encourage you to block off 30 minutes on your calendar. Create a quiet space to really reflect on your past 6 months. Be mindful of recency bias and recent events that may skew your feelings and look holistically at the question at hand.

How does Culture Amp work?

Invitation

When the survey is kicked off and live, you will receive an email with instructions containing a link to the survey. This is a unique link to ensure that each participant is represented correctly and with a single response. Your link has a random key that is generated with a cryptographically-secure algorithm. This key ensures that only your link can access your response.

Confidentiality and Anonymity

We will be facilitating a Confidential “attributed” Survey for the Engagement Survey. This means that your individual link allows Culture Amp to map your anonymous survey responses to your demographic information in our HRIS database i.e tenure, department, focus area, team, location, etc. This is important in order for us to slice and filter data to extrapolate patterns and themes.
Confidential surveys will never identify comments. There are permissions set up on the backend of the survey (outlined in your invitation and survey communications) like reporting group minimums, which prevent the ability to directly or indirectly identify your response. However, it's naturally possible to identify yourself by the content of your comment. If you'd like to remain confidential, do not include identifying information such as people's names or departments.
You may also be thinking, won’t survey admin be able to pull all the raw data? There is the ability for survey admins to mark a survey as eligible for Raw Data Extraction, however, we will not be enabling the Raw Data option and this setting cannot be changed after survey launch. If the Raw Data Extract option were enabled on this survey, CultureAmp would automatically insert the required warnings to survey participants.

Who can see my responses?

Select members of the People Operations Team has administrative settings for CultureAmp and is restricted to them solely. This does not mean we have ability to associate names with your response for this particular Engagement Survey. Please refer to Confidentiality and Anonymity section to understand the extent of responses and data we have visibility into.
While we’re fortunate to have a culture of transparency and open feedback, we know some people still may feel nervous about providing honest feedback. While we encourage you to answer every question there may be valid reasons not to answer a question. You may feel the question is not relevant to you. Or you may simply feel uncomfortable with the question for personal reasons. If this is the case for any of the questions, you can skip them. Or, if you feel your answers are more nuanced, you can add comments (on a per question basis).

Reporting Rules

The specific reporting rules for the survey are included in your invitation and reminder communications. The reporting rules outline the reporting group minimum for the survey, as well as whether survey administrators have access to raw data. Our goal is to balance the risk of employee’s response being identified with the utility of reporting. In the spirit of transparency, here are our report rules we’ve set up on our back-end:
Reporting Group Minimum: 4 (this means there must be a minimum of 4 responses per demographic group in order to see survey scores)
Comments Group Minimum: 4 (this means there must be a minimum of 4 comments per demographic group in order for survey admins to view comment content. This helps to preserve your anonymity. Please be mindful to write in an anonymous fashion to further help preserve your anonymity.)
Indirect Identification Protection: Basic (this means there is an extra layer of protection which protects individual responses from indirect identification. If a filter includes a group with only 1 individual, the next smallest group’s responses will be hidden.)
Raw Data Extract: Not allowed (this means survey-admins will not be able to extract the raw data file for this survey)

I completed the survey but want to modify my responses. How do I do this?

If you already submitted your survey and would like to change your answers, the survey link can be reset by following the original survey link and using the “Redo Survey” link at the bottom of the ‘Thank You’ page. You will receive a new survey invite link by email. Be aware that resetting a survey removes all your previous answers. You will need to complete the entire survey again.
